SHIFT TIME ZONE: CST
SHIFT HOURS: 8:00 am to 5:00 pm
SHIFT DAYS: Monday to Friday

We are seeking a highly motivated and organized Virtual Assistant (VA) to join our growing team and support our construction business operations. You will play a key role in streamlining our processes and ensuring seamless communication between our team, subcontractors, and clients.

Responsibilities:

  • Manage project intake through our website form, including gathering details and assigning tasks.
  • Coordinate with subcontractors to schedule estimates and ensure timely project completion.
  • Communicate effectively with clients via phone, email, and text messages, addressing questions and concerns.
  • Utilize GoHighLevel CRM to manage tasks, track project progress, and automate workflows.
  • Assist with project management tasks using Notion for Standard Operating Procedures (SOPs).
  • Generate quotes and proposals based on client needs. (Training will be provided)
  • Track project budgets and communicate updates to relevant parties.
  • Maintain clear and accurate records for all projects.
  • Research and learn about the construction industry to gain a general understanding of terminology and practices.
  • Work collaboratively with the system developer to identify opportunities for automation and process improvement.
  • Be proactive and resourceful, taking the initiative to find solutions and complete tasks independently.

Qualifications:

  • Experience in a customer service or administrative role.
  • Strong communication and interpersonal skills with the ability to build rapport with clients.
  • Excellent organizational skills and time management abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Tech-savvy with a willingness to learn new software platforms (GoHighLevel, Notion).
  • Ability to work independently and manage multiple tasks simultaneously.
  • Detail-oriented with a strong commitment to accuracy.
  • Excellent written and verbal communication skills in English.
  • A general understanding of the construction industry is a plus.
  • Experience with project management software is a plus (experience with Notion is a plus).
  • Experience with marketing automation platforms (e.g., Mailchimp, Constant Contact) is a plus.
